Client Solutions Coordinator & Administrative Support [Solutionologist] | Posted 04/10/2026

Roles & Responsibilities:

Key Responsibilities

 Client Communication & Coordination

  • Serve as a responsive and professional point of contact for clients during active projects.
  • Provide timely updates on order status, documentation, and delivery timelines.
  • Support the Solutions Team with follow-ups, scheduling, and client communication.
  • Maintain a positive, proactive, and professional tone in all interactions.

 Order & Workflow Management

  • Enter and maintain accurate order and project details in NetSuite and other internal systems.
  • Track client updates, order statuses, and documentation to ensure visibility across the Solutions Team.
  • Support quoting, data entry, and workflow management to ensure all details are complete and accurate.
  • Collaborate cross-functionally to ensure that client commitments are met on time and to specification.

 Administrative & Team Support

  • Coordinate logistics for client visits, company events, and trade shows.
  • Maintain organized digital and physical records aligned with ISO/QMS standards.
  • Provide general administrative support across leadership, operations, and business functions as needed.

Administrative & Business Operations Support

  • This work supports the operational infrastructure of the business and ensures internal processes run consistently and reliably.
  • Assist with accounts payable and receivable processing, including invoice entry and payment tracking.
  • Support payroll preparation and administrative documentation.
  • Maintain organized financial and related administrative records.
  • Assist with onboarding and employee documentation processes.
  • Support benefits administration and internal employee communications.
  • Coordinate vendor documentation, purchasing requests, and supply ordering.
  • Assist with maintaining compliance-related documentation and records.
  • Support general office operations including supply management, shared spaces, and event setup.

  • Administrative and financial coordination tasks are completed accurately and on time with minimal oversight.
  • Orders and documentation are consistently accurate in NetSuite.
  • Client communication is clear, timely, and professional.
  • The Solutions Team operates efficiently due to reliable coordination and support.
  • Internal collaboration is smooth because you anticipate needs and close communication gaps.
  • Clients experience DI Labs as organized, communicative, and trustworthy.
Requirements:

Qualifications

  • 3+ years of experience in customer service, administrative, or coordination roles.
  • Proven ability to quickly learn, adopt, and fully utilize new software systems.
  • Strong proficiency with technology and business tools (ERP/CRM systems, Microsoft Teams, iPads, and digital recordkeeping).
  • Superior attention to detail and accuracy in data entry.
  • Excellent interpersonal and written communication skills.
  • Highly organized and able to manage multiple priorities.
  • Self-starter with strong initiative and accountability.
  • Experience in manufacturing or technical environments preferred but not required.
  • Experience supporting financial, HR, or business operations processes preferred.
