Administrative Operations Manager [Solutionologist]
We are seeking an Administrative Operations Manager to manage the administrative systems that support the operational health of the company. This role provides functional coverage across HR administration, accounting coordination, office operations, and vendor coordination related to these responsibilities.
The Administrative Operations Manager works closely with executive and operations leadership to keep administrative processes organized, accurate, consistent, and accountable. This is a hands-on role focused on coordination, documentation, process ownership, and reliable execution across HR, accounting, office management, and related administrative support functions.
Roles & Responsibilities:
Key Responsibilities
HR Administration
- Coordinate recruiting logistics, job postings, candidate communication, and interview scheduling
- Support employee onboarding and offboarding processes
- Maintain employee records, HR documentation, and personnel files
- Coordinate benefits administration, paid leave tracking, and payroll-related documentation
- Maintain HR forms, policies, and employee documentation
- Support performance review administration and recordkeeping
- Serve as a first point of contact for routine employee administrative questions
- Coordinate with outside HR, benefits, payroll, or compliance resources as needed
Accounting Coordination
- Manage accounts payable and accounts receivable workflows
- Support invoicing, billing, payment tracking, and financial documentation
- Maintain organized financial records and transaction documentation
- Serve as the administrative liaison with outside accounting partners
- Coordinate payroll documentation and related financial records
- Support month-end and year-end accounting processes
- Ensure financial information is submitted accurately and on schedule
- File required business renewals and administrative filings, including Minnesota Secretary of State renewals
Office Management & Administrative Operations
- Coordinate office administration, supplies, vendors, and facility needs
- Maintain administrative vendor relationships, contracts, and contact records
- Coordinate insurance documentation, renewals, and broker communications
- Maintain organized company records, documentation, and version control
- Support ISO 9001 documentation and administrative compliance needs
- Serve as a point of contact for general administrative questions
- Support leadership and operational teams with administrative coordination
Requirements:
Required Qualifications
- 5+ years of experience in business administration, office management, HR administration, accounting coordination, or similar administrative roles
- Strong organizational and follow-through skills
- Ability to manage administrative processes across multiple business functions
- High attention to detail and documentation accuracy
- Strong written and verbal communication skills
- Comfortable working with outside partners, vendors, and internal teams
- Reliable, discreet, and able to handle confidential information appropriately
Preferred Qualifications
- Experience coordinating with outsourced accounting firms
- Experience supporting payroll, benefits, or HR administration
- Experience in a manufacturing, engineering, or technical environment
- Experience supporting ISO 9001 or similar quality systems
- Familiarity with ERP or business systems such as NetSuite

The 3D Print Technician, Level 1, will be at the heart of our operations, ensuring seamless production flows by focusing on the critical steps that happen once a print is complete. This role combines hands-on post-processing, finishing, and inspection tasks with digital workflow management in NetSuite (using iPads) and team communication in Microsoft Teams. Success requires attention to detail, comfort with technology, and a commitment to delivering high-quality results on time.

Roles & Responsibilities:
Key Responsibilities
- Route orders for manufactured items through NetSuite and ensure accurate digital recordkeeping.
- Operate and maintain post-processing equipment used in additive manufacturing (e.g., depowdering, cleaning, and finishing systems).
- Perform post-production processing techniques and prepare final products for shipment.
- Conduct quality inspections at various stages of the manufacturing process and document results digitally.
- Learn to identify and communicate common manufacturing defects.
- Maintain accurate records of production activities and inspections in NetSuite (using iPads).
- Collaborate with teammates through Microsoft Teams and other digital tools to coordinate production tasks.
- Support ISO/QMS processes by following established procedures and documentation standards.
- Assist with other tasks as assigned to support production and continuous improvement.
Requirements:
Required Qualifications
- Comfortable using technology daily (iPads, ERP/CRM software, Microsoft Teams, and digital recordkeeping).
- Ability to learn new software quickly and apply it in a production setting.
